Development Coordinator

JOB/POSITION TITLE:

Performs all administrative and clerical functions in support of the work of the Development Department and Hawaiian Humane fundraising initiatives.
Responsible for gift processing, donor acknowledgements, and providing excellent customer service.

VolunteersESSENTIAL DUTIES/FUNCTIONS:
Gift Processing.
Responsible for daily gift processing while ensuring financial and biographical integrity of the database.
Manages all functions pertaining to the recording and tracking of charitable gifts including the processing of cash and check payments, recurring gifts, in-kind gifts, credit card/online charges, accurate valuation and recording of stock gifts and bequests, and follow through and management of pledges.
Determines appropriate processing method and special handling requirements regarding special fundraising initiatives (e.
g.
major donor appeals, capital campaign, special events, etc.
).
Acknowledgements.
Responsible for timely and accurate production of acknowledgements and other donor correspondence as needed.
Follow industry best practices to acknowledge donors within a 72-hour window.
Customer Service.
Often serves as the first line of contact for the Hawaiian Humane Society's donor stewardship efforts.
Provides the highest level of customer service to current and potential donors, volunteers, internal staff and external partners.
Donor Communications.
Responsible for the accurate and timely processing of donor communications including solicitations, specific gift acknowledgements, fulfillment of requests for additional information, and miscellaneous service responses.
Program Coordination.
Coordinates the Hawaiian Humane Society's Memorial Plaques, Stepping Stones, Dog Runs, and Benches donor recognition programs.
Following established policies and procedures related to these donor stewardship activities.
Event Support.
Provides support for development events.
Department Calendar/ Annual Timeline.
Maintains the Development Department's master calendar of events and important Ensures members of the department are aware of upcoming events.
Arranges appointments and travel plans as requested.
Clerical Support.
Provides clerical support as needed for the department.
Supplies.
Oversees the supplies and equipment needs of the department.
Volunteers.
Supports the Development Department's volunteer assignments.
OTHER DUTIES/FUNCTIONS:
Performs other duties as assigned.
JOB CONDITIONS:
Working Environment:
Indoors in air-conditioned office mostly.
Outdoors for special events.
Equipment Use:
PC proficiency, MS Office (Word, Excel, PowerPoint, Outlook), and standard office equipment use.
Hours:
Regular work hours are 40 hours per week, typically a Monday-Friday schedule.
Occasional support at special events after hours and on weekends.

Must maintain and present personal conduct, personal appearance, and office space as a professional.
Includes well-groomed and professional appearance and tidy office areas.
Must exercise compassion, patience, professionalism, flexibility and tact when dealing with a broad range of volunteers and the public including difficult, emotional or angry people.
Requires handling people and animals in a pleasant, courteous and professional manner.
Requires ability to set-up events, which can involve lifting boxes and other items up to 20 pounds, hanging banners and other relevant duties.
Must be able to prioritize, work independently, problem solve and meet deadlines.
Requires a superior commitment to customer service to work with and engage a variety of volunteers, donors, supporters and businesses.
Requires knowledge and appropriate application of rules, regulations, policies and procedures.
Requires attention to detail when carrying out assignments.
Requires ability to work independently with limited supervision.
Requires long periods of sitting and working alone at workstation.
Occasionally requires kneeling and bending for access to department files.
QUALIFICATION REQUIREMENTS:
Skills/Knowledge:
Working knowledge of Windows based computer systems, Excel, Word, PowerPoint, Outlook and Raiser's Edge software.
Requires high level customer service and attention to detail with strong organizational skills.
Must have excellent oral and written communication skills and knowledge of business correspondence.
Must have reliable transportation.
Must agree with and be committed to Hawaiian Humane Society's goals, objectives and programs.
Education/Training:
Associate's degree, Bachelor's degree or equivalent experience.
Experience:
One year of Development or Finance experience required.
Raiser's Edge or other fundraising Customer Relationship Management software experience strongly preferred.

The check will bounce and the victim is left responsible.
